Build a complete fleet cost baseline
A useful fleet cost estimate starts with consistent categories. Fuel is often tracked monthly, while insurance, registration and planned maintenance are easier to compare annually. The calculator normalizes those inputs into one annual view.
Use the cost per vehicle as a baseline, not a conclusion. Vehicle age, mileage, assignment, service needs and revenue can make individual vehicles perform very differently.
Inputs worth checking
- Use a full 12 months of fuel records when possible.
- Separate planned maintenance from unplanned repairs if you need deeper analysis.
- Include fees that recur even when a vehicle is idle.
- Compare the fleet average with individual vehicle profitability.
